Overview

The Payment Methods tab within a Payer record is your central hub for securely storing client billing information. ClientPay allows you to store an unlimited number of credit cards or bank accounts, enabling faster transactions and providing flexibility for both you and your clients.

With stored methods, you can process charges at your client's request (e.g., "charge my card ending in 1234") or allow clients to select their preferred saved method via the Payer Portal.

Managing Payment Methods

To access these settings, navigate to Payers in the left navigation bar, locate your specific Payer, click the pen icon to edit, and select the Payment Methods tab.

1. Requesting Details from a Payer

Instead of taking numbers over the phone, you can invite clients to enter their own data securely:

  • Action: Click the Request from Payer link.

  • Delivery: The system auto-populates the payer's email. You can customize the message text in the Custom Message box before sending.

  • Client Experience: The client receives a secure link where they can add, update, or remove their own methods.

Note: For security, account numbers cannot be edited once saved. If a number changes, the old method must be deleted and a new one added.

2. Manually Adding a Card

  • Click the Add Method button.

  • Required Info: Enter the cardholder name, street address, and zip code. Providing accurate billing info ensures you receive the best processing rates.

  • Security: Do not attempt to store CVV codes (the 3-digit code on the back). Per PCI Standards, these cannot be stored, and they are not required for processing saved methods.

  • Primary Method: Choose Save or Save and Make Primary.

3. Editing or Removing Methods

  • To Edit: Click the pen icon on a specific card. You can update the cardholder name, expiration date, and billing address. You cannot view or edit the full card number.

  • To Remove: Click the red delete button on the specific method and confirm by selecting Delete Method.
